Webshop software WooCommerce Our webshop has been developed using WooCommerce software, and we have chosen XEL for our web hosting. Personal data that you provide to us for our services are shared with this party. XEL has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have with them, XEL is obligated to take appropriate security measures. Our webshop is hosted on a shared management server. We have taken suitable technical and organizational measures to prevent misuse, loss, and corruption of data as much as possible. These security measures include SSL encryption and a strong password policy. Regular backups are made to prevent data loss. Web hosting XEL — We use web hosting and email services from XEL. XEL processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of its services. These are not personal data. XEL has taken appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data. We use XEL’s services for our regular business email traffic. This party has taken suitable technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Others do not have access to our inbox, and we treat all our email correspondence confidentially.
Payment processors Mollie Payments For processing (part of) the payments in our webshop, we use the Mollie platform. Mollie processes your name, address, and residence information as well as your payment details such as bank account or credit card number. Mollie has taken suitable technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve its services and, in that context, to share (anonymized) data with third parties. All guarantees mentioned above regarding the protection of your personal data also apply to the parts of Mollie’s services for which they engage third parties. Mollie does not store your data longer than is legally permitted.
Shipping and logistics PostNL / TNT / DHL / UPS / Kühne + Nagel / Thijs Logistics When you place an order with us, it is our responsibility to deliver your package to you. We use the services of PostNL, TNT, DHL, UPS, and other logistics partners to carry out the deliveries. For that purpose, we must share your name, address, and residence information with these companies. These companies use this data only for the execution of the agreement. If these shipping companies engage subcontractors, they will also make your data available to those parties. Purpose of data processing – General purpose of processing We use your data solely to provide our services. This means that the purpose of processing is always directly related to the order you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you later for reasons other than at your request, we will always ask for your explicit consent. Your data will not be shared with third parties except to comply with accounting and other administrative obligations. We cooperate with Administratiekantoor Dekkers for this purpose. These third parties are bound by confidentiality based on the agreement with us or by legal or professional obligations. Cooperation in fiscal and criminal investigations In some cases, Alltracks may be legally required to share your data in connection with government tax or criminal investigations. In such cases, we are obliged to share your data, but we will resist this within the limits of the law. Retention periods We keep your data as long as you are our client. This means that we retain your customer profile until you indicate that you no longer wish to use our services. When you notify us, we will treat that as a request to be forgotten. Due to applicable administrative obligations, we must retain invoices containing your (personal) data for the legally required period. Employees no longer have access to your client profile or to documents created in connection with your assignment.
Your rights Under applicable Dutch and European legislation, you have certain rights with regard to the personal data processed by or on behalf of us. Below we explain what these rights are and how you can exercise them. To prevent abuse, we send copies and transcripts of your data only to your email address already known to us. If you wish to receive the data at another email address or by post, we will ask you to identify yourself.
